Meet DeepL: exploring DeepL’s onboarding journey

Starting a new job is a big deal—it’s exciting but can also be a bit nerve-wracking. At DeepL, we totally get it. That’s why we’ve crafted an onboarding experience that’s all about making you feel welcome from day one. We sat down with Isabell Reinholz to give you an inside look at what makes our onboarding process special. From the warm welcomes to the in-depth introductions, everything is designed to help you hit the ground running and feel like part of DeepL right away.

Could you please introduce yourself and your role at DeepL?

Hello there! I'm Isabell—I’m based in Cologne and a true people person at heart. I joined DeepL 3.5 years ago as a recruiter, coming straight from university where I studied Human Resources and Organizational Behavior. Since then, I’ve evolved into a project management role where I have designed our new onsite onboarding program together with my amazing project team. I’m currently transitioning to a new team again, aiming to become DeepL's Culture Program Specialist.

Among other things, I’ll continue to work on our onboarding program, since it's an essential part of bringing our culture to life and letting new joiners experience the DeepL feeling.

Can you walk us through the typical onboarding journey for new team members at DeepL?

Yes, happy to! Our DeepL onboarding journey starts on their very first day with a welcome meeting hosted by our onboarding team. During this meeting, we share information about the upcoming days and weeks, making sure that everyone knows what's going to happen and what's expected of them—besides the feeling of a good, warm start and welcome

Once the new hires have set up their hardware with the help of our IT support, they spend the rest of the day with their team having welcome meetings, coffee chats, and attending team discussions. 

After that, it's time to get ready for the excitement that awaits them at our headquarters: all of our newbies from across the globe are invited to join us in Cologne to dive into the DeepL world for three full days, with each day bringing a different focus. 

  • Day 1: this day is all about us as a company—our journey, culture, and products. Each month, Jarek, our CEO, takes the time to welcome the newbies, introduce our mission and vision, and give everyone a chance to ask questions. After an intense day that ends with a product training session, we invite the newbies and all colleagues to a happy hour. Here, they can connect, listen to fun DeepL stories, and experience the vibe. 

  • Day 2: we continue with high-level sessions led by members of our leadership team to ensure a well-rounded picture and understanding of how we work together, how our product is created, and how it’s monetized. The sessions are very valuable but require focus. That’s why we then spend the afternoon/evening of day 2 blowing off some steam with a fun team activity before dinner in the vibrant city center of Cologne. 

  • Day 3: on the final day of our onboarding journey, we dive a bit deeper into the different departments and their individual responsibilities, following the product life cycle. Day 3 is more granular than days 1 and 2, but it’s important to us to create understanding about what each department does and how they all contribute to DeepL’s success. With this approach, we aim to reduce barriers between departments and avoid silos.  

As the third day of training draws to a close, we release the new hires to their teams to follow the individual onboarding path prepared for them. After three days, new hires typically exhibit high levels of enthusiasm and motivation due to the positive atmosphere and encouragement from their colleagues.

Often, they’re eager to start their new roles and contribute to their teams. In some cases, new hires even opt to remain on-site in Cologne for an extended period of time to engage in comprehensive onboarding activities with their colleagues and managers. If they’re situated near one of our office locations (Berlin, Amsterdam, London, Tokyo, Austin), they’re introduced to our different offices by the teams on-site.

Can you explain DeepL’s onboarding process, including the key steps and the actions involved to ensure a smooth experience?

For us, the onboarding process begins well in advance of an employee's first day. This is the pre-boarding phase. During this phase, we ensure that new hires have access to all relevant information and resources to facilitate a smooth transition and maximize their excitement to join our team. This requires significant effort and coordination between numerous teams, such as Office Management, IT Support, and People Operations. We maintain close communication with new hires to ensure they have the support they need to navigate the challenges of a new job. 

In addition to the organizational tasks, such as ensuring the delivery of the appropriate hardware to the appropriate individual and its configuration, we also provide a substantial amount of content and training materials that address typical new hire questions. In addition to knowledge sharing, our onboarding program emphasizes the formation of connections between new hires and existing team members. The objective is to reduce barriers to asking for help, thereby ensuring a smooth onboarding experience.

What unique aspects of DeepL's onboarding process set it apart from other companies, and how do these contribute to a supportive start?

When we created the new onboarding experience, it was important to us to build a journey that would provide in-depth knowledge about the product, help them understand how we work as an organization, and at the same time introduce them to our culture. 

From the feedback we've received so far, we're doing a very good job of achieving that goal and striking a good balance between all of those aspects. I believe the one thing that makes our onboarding experience truly unique is the commitment from our Leadership Team towards the program and, therefore, the new hires' experience. 

For instance, our Leadership Team dedicates time to share knowledge and answer questions. They travel to Cologne specifically for our onboarding, demonstrating their investment in the new hires' development, success, and feeling of welcome at DeepL. This again represents the best example of DeepL culture and the dedication to our continued growth and success. 

How do you ensure that new hires feel welcomed and supported during their initial days at DeepL, both practically and emotionally? 

The one thing almost everyone says after joining is how amazingly friendly everyone is. Because of the nature of our people (or Deeople, as we kindly call them internally), joining the company is already a very warm and welcoming experience.

This is also why we decided to have onboarding take place at our headquarters: we have the highest density of Deeople and the largest onsite support system. Our office and assistant teams are always there in the background, supporting the very practical aspects of the program, making sure everyone is happy and the process runs smoothly.

Can you share any success stories or memorable experiences from recent onboarding processes that highlight the effectiveness of DeepL's approach?

The onboarding process has been a success story so far. The feedback has been overwhelmingly positive, not just from the new hires. The presenters and Leadership Team have shared many positive comments with us because they enjoy working with the new hires on-site and seeing the enthusiasm of the group. 

And for me, the most significant achievement is the new hires' eagerness to start their roles and contribute to DeepL's success. When we say goodbye, they are tired, but filled with energy and joy at the same time. 

In your opinion, how does a comprehensive onboarding experience contribute to employee retention and overall company culture at DeepL?

Often, new employees feel a bit lost or lack essential information when they first start their jobs. This can lead to feelings of isolation and confusion, which can ultimately lead to high turnover rates. Our onboarding program is designed to provide new hires with the tools they need to succeed and avoid feeling overwhelmed. 

In addition to onsite onboarding, we provide a wealth of self-paced content for new hires to work through. Our goal is to make sure they have the information they need at their fingertips, and with the new setup we've created, we're making it easier for teams to work, creating a smoother experience that leads to higher retention

Ensuring that new hires are well-integrated is valuable for two reasons: first, the newcomers make many connections with fellow new joiners and existing colleagues—helping them feel a part of the group and, therefore, the company. Second, due to their integration into the group, they get in touch with the DeepL culture, experience our values in real life, and can act and collaborate according to our values and culture.

What is the context parameter feature?

The context parameter feature provides users with greater control and flexibility within the API, allowing them to add additional context within their text translation requests. This feature is particularly useful for short, low-context sources such as product names, descriptions, or article headlines—instances where translation can be improved through additional content surrounding the request.

The feature received positive feedback from early adapters such as Weglot and Kicktipp—and we have now moved the feature to general availability within DeepL API. 

How does the context parameter feature work?

The context parameter feature is easy to use and extremely effective in further improving the quality of translations. When making a text translation request, users should include a single parameter that provides additional context for the text to be translated. The context itself is not translated—only the requested text—allowing for greater precision and accuracy in the output.

As with all of DeepL’s translations, this feature enables effective translations across industries—and is particularly beneficial for e-commerce platforms, where precise naming conventions or product descriptions are paramount to a positive sales experience.

Why are we launching the context parameter feature?

Cybozu and DeepL: enabling global communication with Language AI

Founded in 1997, Cybozu Inc. develops and provides team-driven groupware to support collaboration, based on its corporate philosophy: "Building a society brimming with teamwork."

Recently, we sat down with Shuichi Suzuki, Cybozu’s Head of IT, to learn more about the company’s global market expansion and vision for the future—plus, how Cybozu leverages DeepL’s AI translation to improve company communication and collaboration.

Can you tell us about yourself and the company?

I’m the general manager of the Information Systems Department of the Operations Division for Cybozu Inc. The main duties of the Information Systems Department include internal system design, construction, and operation. Specifically, the Information Systems Department consists of three teams: 

  • The team that arranges PCs and smartphones, arranges equipment, and responds to requests from users

  • The team that introduces cloud services, such as DeepL, and operates their account management

  • The team that is mainly in charge of development

My role is to organize all three teams.

Cybozu has two businesses: groupware products and teamwork enhancement solutions. For groupware, we develop, sell, and operate four products: Kintone, Garoon, Cybozu Office, and Mailwise. As a developer of groupware used for sharing information among teams and organizations, we are committed to our purpose: "Building a society brimming with teamwork."

Can you tell us about your recent global market expansion?

We’re developing Kintone for overseas markets in various countries and regions, including the USA, Australia, China, Taiwan, Malaysia, and Vietnam.

We’re also hiring people regardless of their nationality or mother-tongue—recruiting overseas members in Japan. This is based on the idea that, if we’re going to create a product that will be used in diverse markets, we need to understand them. For some development teams, whether a candidate is a Japanese national or speaks Japanese doesn’t matter anymore.

What were the areas where you felt the use of AI translation and machine translation was necessary?

We have a global presence, with offices in Vietnam, China, and the USA.

At each location, there are more members from each country than Japanese-speaking members. So the language of communication differs depending on the location.

In Vietnam, communication is in Vietnamese—in the US, it’s English; in China, it’s mainly in Chinese; in Japan, it’s Japanese. However, when viewed as a whole, the proportion of Japanese-speaking members is inevitably high. Therefore, much of the communication on the groupware is conducted in Japanese.

Thus, many non-Japanese team members weren’t able to read documents and found it difficult to participate in discussions. This is why we started to consider translation tools, as we felt that we needed to provide support that would remove any language barriers.

There were many options available, including AI translation tools and machine translation. What made you choose DeepL?

The most important thing was that we knew from ‌publicly available data that DeepL’s ‌security standards would be high. I think it was more than four or five years ago that we first considered introducing a translation tool. However, most tools at the time were using the input data to improve their translation systems.

DeepL, on the other hand, has always stated that it promptly deletes input data and handles it securely. As an Information Systems Department, we’re more concerned about security and ease of operation than usability. We started considering DeepL as the tool that seemed to be the best in terms of security.

How do your users rate DeepL?

Many users say that the translation results from DeepL are more natural-looking than those from other companies.

Other translation tools are said to provide translations that seem blunt or sentences that sound like example sentences. Another problem was that users were unable to judge whether they could use the translation results without editing, and they had to be careful. 

For example, they needed to translate back or look up each word. DeepL has a high reputation for translation accuracy, and the translation results can be used as they are. As a result, many of our employees now use DeepL. The other thing people say is that the desktop application is very easy to use. It seems that everyone uses the shortcut keys to immediately start a translation.

We have a lot of engineers involved in development, so it's also good that there are shortcuts and that it's easy for developers to use.

What do you usually translate and what are the most common situations where translation is needed?

I use DeepL to translate specifications and email enquiries.
At the moment, we’re providing support for products for overseas markets, so we use it for some of those translations as well.

In our company, all internal communication is basically done on Kintone.
We also use DeepL to translate manuals and FAQs created in Kintone into English.

Additionally, we use the browser extension to translate entire pages.

You already had many people using DeepL across Cybozu. What challenges did you face during the implementation process?

Before company-wide implementation, we had several teams using paid DeepL subscriptions. Additionally, almost everyone knew what DeepL was, so there were not many major challenges regarding implementation.

Our internal rules required us to use the paid subscription DeepL for security reasons, but we left account management and contracts to the users. This time around, the Information Systems Department put together a company-wide rollout with a policy of granting licenses to members who wished to use them.

In terms of management, we were able to introduce the system in a way that reduces the burden on the Information Systems Department while also providing significant benefits to the users. This was a major point of the project. For example, SSO allows users to self-sign up and create their own accounts, and when the account limit is reached, the system automatically deactivates unused accounts.

We sometimes hear that it’s difficult to use tools that do not measure ROI, but did Cybozu consider ROI when implementing DeepL company-wide?

Rather than ROI, DeepL is being introduced this time as a solution to a visible challenge.

In this case, the language barrier is an issue that is increasingly being felt within Cybozu. As the number of members whose first language is not Japanese has increased, there are people who cannot understand the message unless it is written both in English and Japanese when it is posted to the entire company. 

Also, there are cases in everyday communications where discussions cannot be conducted unless English is used. The Information System Department is introducing tools to provide support so that everyone can understand communications.

In terms of ROI, I think it's not impossible to show how much time spent on translation and communication has been reduced. I certainly feel the effects.

However, what I feel is the other effect of the introduction of DeepL is that, at the moment, it has made it easier for overseas team members to reach out to me. When my comments are written in the member's native language, the content is understandable and the nuances can be conveyed. 

It makes it easier for everyone to consult with me, and I often feel that the so-called language barrier has decreased. It’s difficult to know whether this is true or not, but I think that DeepL provides a positive impact on our communication that cannot be quantified.

What are the results of removing language and communication barriers, and what is your vision for the future?

From an IT perspective, we want to reduce information and location disparities as much as possible. When a company is trying to compete globally, it’s often said that it’s important to be able to work anytime, anywhere. However, what I feel recently is that "with anyone" is also becoming more important for our company.

After the Covid-19, many companies began working from home, and it’s no longer unusual to be able to work anywhere, anytime. So what comes next in importance at Cybozu is “with anyone.” The first problem that arises when working with a diverse group of people with different ways of thinking is the language barrier. I think that if that barrier is eliminated, a new way of working will become visible.

By sharing information and communicating globally, we can develop new ideas that we would not be able to come up with if we only communicated in Japanese. Cybozu is entering the phase of "anytime, anywhere, with anyone." I think the first step towards promoting this setup is to enable people with different languages to communicate with one another.

Amber: I'm Amber, and I've been part of DeepL since April 2022. It's been quite a journey, especially with our rapid growth; it feels like I've been here forever! 

Working in the Talent Acquisition team, my focus is on bringing the best software engineers across different areas to our company. But for me, it's more than just matching skills—it's about being the friendly face of DeepL to our applicants. I take every opportunity to share our diversity initiatives and inclusive culture and aim to leave a positive impression wherever I go.

Juan: Hey there! I'm Juan, originally from Spain and now happily settled in Cologne. I joined DeepL at the beginning of 2023 and currently lead a team in the Support department. 

Whether it's driving positive change within our Employee Resource Group (ERG) or fostering a supportive team vibe, I believe in leading by example. My principles revolve around open communication, mentorship, and collaboration. I wholeheartedly believe in the power of diversity to fuel innovation and success. That's why I'm dedicated to ensuring everyone feels valued and empowered to excel, both personally and professionally.

Juan, could you provide some insight into the formation of the PROUD-AI ERG? What motivated its creation, and what is its overarching mission?

The PROUD-AI ERG at DeepL was established in 2023 with a clear vision of cultivating an inclusive workplace environment where LGBTQ+ individuals can authentically thrive. 

The driving force behind its formation was the recognition of the importance of diversity and inclusion, not just as buzzwords, but as fundamental elements of a healthy organizational culture. Our mission was to create a platform where LGBTQ+ employees could connect, support each other, and advocate for positive organizational change.

Amber, what inspired you to take on the role of ERG Pride Lead this year, and what are your aspirations?

My involvement with diversity initiatives at DeepL dates back to its early stages, from modest beginnings, like a Slack channel, to the initial online endeavors for events like International Women's Day and Pride last year. 

When we transitioned to a more structured ERG framework at the beginning of 2024, I was eager to be part of it. While DeepL is undeniably one of the most LGBTQ+ friendly companies I've worked for, I believe there's still more we can do to showcase this inclusivity, both internally and externally. There's immense potential for us to implement social initiatives, educational programs, and foster a supportive professional community. 

I'm enthusiastic about the opportunities ahead and eager to contribute to our journey towards greater inclusivity.

Juan, could you share an experience from your time at work where you felt particularly supported as an LGBTQ+ individual and how it impacted you?

Throughout my interview process at DeepL, I felt it was a safe space where I could authentically be myself—even before I officially started my journey within the company. 

The team of colleagues I interacted with were incredibly supportive, fostering an environment that not only celebrates diversity but also embraces my professional identity. This sense of support has remained constant, especially with the personal connections formed daily at our headquarters in Cologne.

How would you both characterize the inclusivity of DeepL's culture?

Juan: Through my day-to-day interactions, I can truly tell that DeepL's culture places a strong emphasis on inclusivity across the board. From leadership initiatives focused on diversity to the use of inclusive language in our communications, there's a conscious effort to ensure that every individual feels respected and valued for who they are.

Amber, could you give us a sneak peek into some of your initial plans or ideas for celebrating Pride Month at DeepL?

For this year's Pride festivities, we're focusing on breaking barriers and sparking meaningful conversations within our community. Instead of sticking to the more academic approach we took last year, we want to create a space where everyone feels comfortable sharing their personal experiences and discussing the hurdles they face as LGBTQ+ individuals, regardless of where they fall under the rainbow. 

We're hosting "lightning talks'' both online and in person, where team members can learn from their peers. We're also pursuing partnerships with external LGBTQ+ professional networks, charities, and NGOs to not only show our commitment to inclusion but also provide some tangible support to causes aligned with our values.

As we dive into Pride Month, what's a message you'd like to send out to allies and supporters, both within DeepL and beyond?

Juan: I'd say to our allies and supporters, both here at DeepL and out there in the wider world, a big thank you and keep it going! Let's use this month as a springboard for more learning, more questioning, and more collaboration towards a world where everyone can truly be themselves and bring their whole selves to work—no matter who they love or how they identify.

Amber: It's easy to forget sometimes that Pride has its roots in protest. LGBTQ+ folks all around the globe are still facing big challenges, especially our trans and non-binary friends. 

So, it's crucial for all of us, whether we're part of the LGBTQ+ community or allies, to stand up and speak out for equality. Let's make sure their voices are heard loud and clear, and let's keep pushing for a society that's truly inclusive.

As the ERG leads, can you share a personal experience that shows why celebrating Pride Month at work is so important?

Juan: I have fond memories of past experiences where ‌visibility has helped others to understand how diverse we are as a team. They're a chance for us to learn from each other, to celebrate each other, and to have some really important conversations. And, most importantly, they remind us that we're not alone—we've got a whole community behind us.

Amber: In my previous jobs, it was hard to be the only LGBTQ+ person in the room. It felt like I was always hiding a part of myself, and that's never a good feeling. But here at DeepL, we've got such a diverse bunch of people working together and that's something really special. 

I'm excited to be working on some real, concrete programs and initiatives that reflect our values and show the world what we're all about. It's important that we celebrate that diversity, not just during Pride Month, but all year-round.

Yes, with much pleasure! I'm Ryan, and I've just relocated to Berlin from Vancouver. Originally hailing from Baguio City in the Philippines, I am responsible for Workspace Experience, stepping into a role that's new to the company.

With a background in this domain, I'm thrilled about the opportunity to weave the principles of Workspace Experience into the fabric of DeepL, fostering an inclusive atmosphere that grows alongside us.

Why is ensuring accessibility a top priority for DeepL, and how does it align with the company's values and mission?

As a company that aims to break down language barriers, making everything accessible is a huge part of that mission. It's all about creating a space where everyone can feel safe, bring their true selves to work, and be super productive. That's the target we’re aiming for.

Could you share DeepL's journey in fostering accessibility within its workplace environment over the years?

Over the years, DeepL has been dedicated to fostering an office environment that is not only welcoming and accessible to all, but also neurodiverse friendly. What specific initiatives or strategies do you plan to implement to enhance inclusivity within DeepL's workspace over the coming years?

I'm actively involved in DeepL's Belonging, Equity, Diversity, and Inclusion Committee, known within DeepL as BEDI. In line with DeepL's core mission, our commitment extends to dismantling barriers of inequality and bias as well. 

We are committed to diversity and representation, cultivating an environment where the voices of all are not only heard, but are an integral part of our culture. Our collective goal is to drive meaningful change and ensure that our actions resonate throughout the company. On a personal level, I am focused on transforming our office environments. Daiwa Securities Group and DeepL: the role of AI translation in digital transformation

What you need to know about Daiwa Securities Group Inc.:

Headquartered in Tokyo, Japan, Daiwa Securities Group Inc. is one of the world’s largest securities brokerages. Offering a multitude of services, from ​​online trading to asset management, Daiwa Securities Group boasts both corporate and institutional clients around the globe.

Recently, we sat down with Kazuki Hiroshima, to learn more about how Daiwa Securities is accelerating digitalization and leveraging DeepL’s AI translation to expand internationally.

Could you tell us about your company, department, position, and career to date?

Within Daiwa Securities Group Inc., I belong to the Digital Promotion Department, which was established in October of 2023. Created with a strong desire to accelerate digitalization, this department is under the direct supervision of the CEO.

Daiwa Securitie’s main areas of business are investment and financial services, with security at its core. Lately, we’ve been expanding our business not only in Japan but also in the Americas, Europe, Asia, and Oceania.

As for my own career, after having worked as a project manager at a foreign-owned IT company, I joined Daiwa Securities in 2016. During my previous career, I worked on projects with overseas stakeholders implementing and integrating systems in various countries, such as Europe, the U.S., and Asian countries. Because of this background, bringing Japan to the level of efficiency of such countries has become my mission and main area of research.

Thanks in part to my overseas experience, when I joined Daiwa Securities, I was involved in global regulatory projects. I’ve also been involved in the field of risk management, as well as corporate systems, such as human resources and finance. 

Most recently, I’ve been involved in a wide range of advanced technologies and business reforms in digital transformation. Since October 2023, I have been a member of the Digital Promotion Department.

Since the launch of the Digital Promotion Department, how have the first few months been?

A few months have passed, and while some things feel the same as they did at the beginning, there are other aspects that feel different now. I had assumed that the Digital Transformation initiative was mainly about IT technology. But as I started this new role, I began to feel that the initiative was more of a push-back against existing culture and history.

Most IT technology originates in Silicon Valley and other cutting-edge places around the world. So, what we as Japanese companies need to do is to take the technology that has been created or is being created and apply it to our own operations.

In doing so, we need to consider which parts of our business we deliver impact for, how we deliver impact, and how we make decisions. This is where I feel we often face the barriers of the unique Japanese culture, for better or worse.

One of the characteristics of Japanese companies, in terms of employment, is a culture of collective hiring of new graduates and generalist training. There’s also a high degree of difficulty in adjusting the payroll. Thus, IT functions are often outsourced rather than done in-house. 

There’s still a mindset of buying IT functions rather than creating them ourselves. I also sense that Japanese companies have a distinct way of thinking about quality. This is largely due to the fact that Japan's postwar recovery was centered on the manufacturing industry. 

Japanese manufacturing has thrived thanks to a culture that places an overwhelming emphasis on the "Q" (quality) and "C" (cost) of QCD (Quality, Cost, Delivery). However, it doesn’t place much importance on speed of delivery.

That makes sense in manufacturing, since many things are related to safety. On the other hand, in software, the "D", or speed of delivery, is important. I think it’s necessary to increase the number of people who understand the importance of speed.

What is the status of your company's transformation in the digital domain?

Many employees feel that the world is moving toward digital technology and that it’s appropriate to move in this direction. This department has been set up with the support of the CEO and the management team. 

Nevertheless, we are a regulated industry, and we’re not in a position to change anything for our own interests. We need to think about how we can use digital technology to be competitive within the scope of existing regulations and are constantly working to improve this issue.

Currently, we’re also making moves to focus on specific areas, for example, translation and speech-to-text. This is something we’re thinking about every day—looking at both the big picture and specific activities.

Can you tell us about any technology or trend that is currently attracting your attention?

 Few IT and business companies can talk about technology without talking about generative AI. When I was in Silicon Valley last year, every IT company talked about generative AI—even if we didn't ask for it. I felt this was definitely the center of the technology trend.

In terms of how to use it, while we currently have generative AI as a core technology, the scope of its use is still limited with its current functionality. We’re working on how to utilize the functionality of generative AI as it continues to develop by linking it with our internal and external data as it grows.

You are deploying ChatGPT to 9,000 employees, but how are you‌ integrating it into the operations of your employees?

 We cannot say that all of them use it, but we have created an environment where they can use it. The reality is that some people use it frequently and others do not—depending on the nature of their work. About 10% of our employees use it at least once a day.

As an example, when planning a project, you can ask ChatGPT questions such as, "I want to take this kind of initiative, but what is the approach we should use?” I also asked, “what aspects should we consider to streamline our digital transformation work?” It gave me about five answers, including organizational structure and technology. I was impressed. 

Also, since we are a financial institution, programming is done onsite. We use it for coding, and it works well. When we do data analysis, we give ChatGPT instructions like, "I want to cleanse the data, so write the code.”

You also use DeepL’s AI translation tool. What were your internal needs that led you to adopt the product?

Since our company is expanding internationally, we have a lot of communication with our overseas offices. Even within Japan, for example, there are wealthy Chinese customers, and the company has sales staff who deal with them. To communicate, we have to overcome language barriers.

There have been translation tools available to translate words and sentences, but with DeepL, I can translate whole document files. I find great value in that, as it’s led to a considerable increase in my own productivity.

With all the different translation tools available, could you tell us what made you choose DeepL?

There are two main reasons. The first (and most overwhelming) reason is the ability to translate on a file-by-file basis. The other is the glossary feature. In terms of being able to do both of those things, DeepL was the best choice we could find.

We also compare tool accuracy. It’s a qualitative point, but we often hear within the company: "DeepL is highly accurate and easy to use."

You’ve been using DeepL’s services mainly for file translation. Have there been any specific business impacts?

DeepL has directly contributed to improved productivity. For example, when we need to publish Investor Relations (IR) materials in both English and Japanese at the end of our business year, the effort to publish the English version has been reduced. As a result, ‌speed has also increased.

After releasing IR materials, we need to post the Q&A sessions we had with investors and analysts on our website. We use DeepL to create Japanese and English versions simultaneously, which has helped speed up this workflow. 

Before using DeepL, there were cases where we had to outsource the work to a contractor. The introduction of DeepL has enabled us to produce the work in-house, which, I heard, has reduced our workload, including costs.

What message would you like to share with companies considering DeepL?

The ability to translate files is by far the best and the translations are highly accurate. Also, the ability to set up glossaries is very practical. The future outlook is also very good, as DeepL is planning to expand into the audio domain.
