Our interview process: your guide to DeepL's interview journey for the Sales team

Are you getting ready for a DeepL interview or simply curious about our interview process? Either way, you're in good hands. I'm Nathan, and I'll be your guide through this journey. 

As one of DeepL's Talent Acquisition Specialists, I'm dedicated to finding the best talent for our Account Executive roles across EMEA. With over 8 ½ years of experience in the fast-paced world of B2B SaaS sales, I’ve supported a number of organizations at different stages of their business journeys, navigating complex hiring challenges and processes. Join me as I walk you through the different stages of our interview process, sharing insights and insider tips I've gathered over the years.

At DeepL, our interview process is designed to ensure that both the candidate and the company are a perfect fit for each other. Let's break down the process into four distinct stages:

First stage: recruiter screen

The initial stage of our interview process is the recruiter screen, which serves as an opportunity for us to evaluate if you’d be an initial good fit for DeepL. However, it’s equally important that DeepL is the right fit for you. Every stage of our recruitment process is reciprocal. During this stage, as a recruiter, I look to understand a candidate's motivations for considering DeepL. I consider whether you’re actively looking, what your expectations and ambitions are—just as we have criteria for what we’re looking for, you should, too. I also ask some general “housekeeping” HR questions to get a broader understanding of your background, experience, successes, and responsibilities. 

All of this ties together to see if there’s an initial cultural fit. For me, it’s quite simple. Are you a kind, approachable, easy-to-talk-to person? Someone I feel comfortable putting in front of the wider DeepL team? Finally, it’s just as important that you come prepared with insightful, meaningful questions for me—which I’m always happy to answer.

Second stage: One-on-one with hiring manager

So, we see an initial mutual fit—great! Next up is a one-on-one meeting with your potential manager. This is a great opportunity to see if you can work with and report to this person. It’s also a chance to see if your manager thinks you’ll be a good fit within their team. 

The goal of this stage is to delve beneath the surface of some areas covered in the first interview. For example: 

  • Experience and application of sales methodology
  • Objection handling
  • Successes and failures (aka learning opportunities)
  • Your ambitions and motivation outside of the role 
  • Questions around ownership and critical thinking

Third stage: panel interview/role play

The third round often requires the most candidate preparation. This stage typically consists of a 60-minute interview split into two sections.  

In the first half, you'll present and conduct a role play, usually with the hiring manager, followed by feedback. In the second half, another member of management will ask self-reflective questions based on our company values.

Fourth stage: peer interview or with leadership (depending on role)

Our final interview is an opportunity to meet with a future peer within the team. This provides a chance to understand what it means to be an Account Executive at DeepL. 

Similar to previous stages, our goal is to ensure you feel comfortable and happy with the people you meet—as they’ll play an integral role in your day-to-day work. It’s also important that our current employees feel excited for you to join us.

By structuring our interview process in these stages, we aim to thoroughly evaluate candidates while providing a transparent and engaging experience. The duration of an interview process can often depend on multiple factors, but we are a fast-moving company. On average, the process takes two weeks from start to finish. Now that you have a clear understanding of the interview stages, let's discuss some tips to help you navigate the process effectively.

Tips for candidates

Successfully navigating the interview process requires more than just technical expertise; it's about showcasing your character and commitment. Here are some practical tips to help you excel:

  • Treat the interview process as you would a sales opportunity. Conduct due diligence, do your research, and go above and beyond. Consider sending an email to your interviewer before the meeting to discuss the agenda and follow up with a thank-you note afterward.
  • A successful candidate is open, transparent, enthusiastic, and cooperative 

In conclusion, our recruitment process is reciprocal. It's not just about you being the best fit for DeepL, but also about us being the best fit for your next career move. Meet DeepL: the “Women at DeepL” Employee Resource Group

Could you introduce yourself and explain your role at DeepL?

Hi there! I’m Muneeba, originally from Pakistan and currently based in Berlin, Germany. I’ve been part of the DeepL team for about 2.5 years, working as a Platform Engineer within the DevOps track. 

My primary responsibilities include ensuring our infrastructure is reliable, minimizing downtime, and providing a standardized, user-friendly platform for our engineers. This enables them to develop, test, and run their services effectively—ensuring scalability and security.

What is “Women at DeepL”, and how did it all start?

The ERG is a voluntary, employee-led initiative focused on diversity and inclusion, formally supported by DeepL. It originated when I joined DeepL and realized that, while there was an accepting culture towards diversity, we lacked a formal mechanism to celebrate and spread this diversity across the organization. 

To address this, the People & Culture team initiated the Belonging, Equality, Diversity, and Inclusion (BEDI) movement. This ERG, particularly for women, aims to foster an inclusive workplace where everyone has the opportunity to voice their opinions and thrive.

What inspired you to lead this ERG at DeepL, and what challenges did you face?

My inspiration stems from my personal experiences in a predominantly male field, where I was often reminded of ‌gender disparities. Whether at university or in my professional life, I've faced challenges that have made me more determined to ensure future engineers, especially women, do not face similar obstacles. 

Leading this ERG was a chance to actively contribute to making our work culture more inclusive and fair. One of the main challenges was changing the existing subtle practices to more overt celebrations and acknowledgments of diversity. I am very grateful for the opportunity to be able to do it here at DeepL.

How has this ERG made an impact on diversity and inclusion within DeepL?

“Women at DeepL” has launched several key projects, including enhancing the recruitment process to be more inclusive of women and launching some internal projects focused on women's development. 

These initiatives aim to provide a safe space for women to share their experiences, challenges, and achievements—fostering a supportive community within DeepL. This has enabled female employees to have a voice within the company and allowed their perspectives to be considered in decision-making processes. 

It's also facilitated networking and mentorship opportunities, contributing to the professional growth of women in our organization. We're committed to expanding professional development opportunities tailored to the needs of female employees, with the goal of inspiring and supporting women in their pursuit of leadership roles.

Looking forward, what are your aspirations for this ERG and diversity at DeepL?

My vision is to see this ERG continue to flourish and help make DeepL an even more diverse, equitable, and inclusive workplace.

Usage insight

Could you please introduce yourself and your role at DeepL. Why did you decide to join us? 

With much pleasure! My name is Margot Novo, and I’m currently a Communications Project Manager at DeepL. I coordinate strategic communication initiatives, with a strong focus on maintaining a positive public image. Collaborating with diverse teams, I ensure that our messages align with our brand identity and resonate effectively with our target audience.

Through careful management of project timelines, budgets, and evaluations, I contribute to improving our public relations efforts, consistently helping stakeholders align effectively. Joining DeepL was a natural and exciting decision for me, driven by a combination of genuine passion for the product and with my vision of an ideal working environment. DeepL's innovation, quality, and impact on the world had captivated me long before the prospect of employment.

How has your role evolved over time?

This is a great question. I actually joined DeepL as Marketing Operations associate, but during the first week there was a project in the PR team that I helped support.

After less than one month, we decided that I would move to the PR team as PR Manager. Last December, I had the opportunity to grow my role within the team and that’s why I’m now a Communications Project Manager.

Reflecting on your career at DeepL, can you highlight a significant achievement or milestone that stands out in terms of your professional growth?

A significant achievement in my career was successfully managing the rapid expansion of our operations across multiple regions. Simultaneously managing the challenges and an effective path to growth, I implemented streamlined communication channels and collaborative frameworks.

Through careful planning and adaptation to local market nuances, we not only met but exceeded targets in terms of market share, revenue, and customer satisfaction. This achievement underscores my ability to navigate complexities, demonstrate adaptability, and foster cross-functional collaboration in dynamic and challenging scenarios.

DeepL values quality and long-term thinking. Can you share a specific example from your experience where these values played a crucial role in a project or decision?

When managing communication efforts for DeepL’s expansion into new markets, quality and long-term thinking were pivotal in shaping our approach. Instead of rushing to generate immediate attention, we invested time in understanding the local culture, preferences, and regulatory landscape.

This research informed our messaging and PR strategies, ensuring they resonated authentically with new audiences. Emphasizing quality over quick wins, we prioritized building relationships with local influencers and media outlets, aiming for sustained positive coverage rather than fleeting attention.

Navigating role transitions is a significant move. How did you manage it, and what advice do you offer for career growth within DeepL?

Navigating role transitions in my career involved strategic planning, continuous learning, and effective communication. When faced with a new role, I immersed myself in understanding the responsibilities, looked to mentors for guidance, and acquired relevant skills.

Transparent communication with current and new teams helped manage expectations and foster collaboration. Actively pursuing training opportunities enhanced my skills and demonstrated a commitment to personal and professional growth.

For those looking to grow within the company, my advice is to seek out new challenges, express interest in additional responsibilities, maintain a learning mindset, stay informed about industry trends, and actively build a professional network while remaining open to mentorship. When team members use the shared glossaries feature, they can all access the same predefined glossary entries. This guarantees that everyone translates specific words and phrases uniformly, regardless of who is doing the translation.

The glossary UI depicts an entry for Legal Terms with the source text as English and the target text as German. The English acronym "GDPR" is then set to always translate to DSGVO in German. On the top right a cursor toggles the button "Share with team" so colleagues can use this same entry as well.

How can you use the glossary with DeepL products?

The glossary feature can be used as a part of a subscription plan (Starter, Advanced, or Ultimate) as well as with the DeepL API.  

With a subscription plan you can:

  • Use glossaries for text translation on the web translator and desktop apps 
  • Apply glossary specifications to document translations in the desktop app—which preserves the original formatting 

With the API you can:

  • Standardize translations across your website  
  • Integrate glossary specifications into your company’s internal tools and platforms

What is a SOC 2 Type II report?

The Service and Organization Controls (SOC) 2 Type II report was ​​developed by the American Institute of Certified Public Accountants (AICPA), based on the Trust Services Criteria (TSC), as a way to define proper customer data management. 

The purpose of the SOC 2 report is to evaluate information systems of a company or organization based on five “trust service principles”, which are:

  • Security: this is a critical principle for all companies or organizations that deal with sensitive or confidential information. For DeepL, this means that we put controls in place to protect against theft, unauthorized access, or destruction of our systems and data.
  • Availability: this principle is vital for companies that rely on their systems and data to conduct their day-to-day business operations. At DeepL, this means we use controls to maintain the consistent availability of all our systems and data. 
  • Processing integrity: critical for organizations that rely on accurate data to make business decisions, meeting this principle requires controls be put in place to ensure the accuracy and completeness of data processing.  
  • Confidentiality: this principle is necessary for organizations that handle sensitive data and information. At DeepL, it means we introduce controls to safeguard the confidentiality of our systems and data. For example, the SOC 2 Type II audit verified that we never store any DeepL Pro translation data—effectively maintaining the full confidentiality of users’ data.
  • Privacy: this principle is critical for organizations that collect, process, or store personal information, and refers to controls put in place to protect the privacy of personal data.

According to Maximilian Ehrlich, DeepL’s Information Security Officer, it’s important to note that “each SOC 2 Type II report is unique to the organization and, therefore, reflects its own designed controls in accordance with its business objectives, risks, and adherence to the trust service criteria.” 

As the SOC 2 Type II report provides critical information on how customer data is managed, it must be issued by an outside auditor. It’s the job of this auditor to assess how well the company or organization in question is complying with the five trust principles defined above.

How is a SOC 2 Type II report different from a Type I report?

If there’s a SOC 2 Type II report, there has to be a Type I, right? Indeed, there is—and there are some important distinctions between the two. 

The main difference between the Type I and the Type II report is that the Type I describes the existing controls of a company. On the other hand, the Type II requires that an independent auditor checks the described controls.  

According to Ehrlich, the Type II report proves that “the predefined policies and procedures have been successfully followed for a reporting period of 12 months", which is verified by a third party. Therefore, the Type II report serves as a much stronger testament to existing security controls than a Type I report. 

Why are SOC 2 Type II reports important?

While not every company requires their partners and service providers to have passed their SOC 2 Type II report, the most security-minded organizations do.

Successfully completing the SOC 2 Type II audit is a rigorous, extensive undertaking. Thus, having this report is a clear sign to all potential partners, suppliers, and clients that your company prioritizes data security and privacy—and you’ve put in the work to prove it.
